Job Description
  • Manages end-to-end recruiting process:

  • Posts open positions to LinkedIn, company website and other sites such as Indeed. Sources and recommends sites most likely to attract qualified candidates.

  • Evaluates the qualifications of candidates by understanding the requirements contained in each job description and the most desirable qualifications by meeting with the hiring manager. Communicates such requirements clearly to recruiting agencies.

  • Promptly forwards qualified candidate CVs to hiring manager for evaluation.

  • Quickly follows up with hiring manager to ascertain whether a phone interview is appropriate.

  • Immediately connects with hiring manager to see if candidate warrants a face-to-face interview.

  • Works closely with hiring manager to determine the appropriate interview team.

  • Coordinates interview dates and times with all members of the interview team and HR, sends Outlook invitations with complete interview schedule, job description and candidate resume attached.

  • Books meeting rooms and works with recruiting agencies to coordinate interviews. Organizes candidate travel from outside the San Diego area when required.

  • Schedules interviews with interview team. Schedules interview team consensus meetings promptly after candidates have completed interviewing.

  • Carefully documents all recruiting activities on a daily basis; tracks all candidates and updates the recruiting spreadsheet (i.e., any candidate who is phone screened or interviewed), including current status.

  • Saves all candidate submittals to proper Outlook folders.

  • CVs/resumes of all job candidates are properly named, dated, categorized and filed in HR candidate folders on the I: drive.

  • When openings are filled, takes down postings on internal and external sites.

  • Meets with HR Manager at least once a week for status report

  • Other responsibilities as assigned by HR Manager or CFO.

  • More than one year of recruiting coordination experience in a high-volume capacity in biotech or pharma industry

  • At least one year of experience using comprehensive LinkedIn functionality and posting jobs to common or niche sites.

  • Bachelor’s degree in scientific discipline, biology strongly preferred.

  • Experience in an FDA-regulated industry highly preferred; in vitro diagnostics/next generation sequencing or medical device background strongly preferred.

  • Consistently displays warm and professional demeanor and has excellent phone manners; thoughtful communicator with excellent interpersonal skills.

  • Possesses the ability to work independently as well as in a team environment.

  • Displays willingness to learn and take on new challenges. Actively seeks out other work to be done when assigned tasks are complete or workload is light.

  • At least one year experience in a networked environment using a Windows interface, proficient use of Microsoft Office suite such as Outlook (Intermediate/Advanced), Word (Intermediate), Excel (Intermediate) Power Point (Intermediate).
