Job Description

The Marketing Conference and Event Manager will be responsible for the global planning and execution of a wide range of marketing events, including trade shows, conferences, customer events, webinars, advisory boards, VIP events, corporate team meetings, and more. This will be a hands-on position in a typical start-up environment, so we are looking for a candidate that isn’t afraid to take personal initiative to roll-up their sleeves and contribute to a wide variety of marketing functions.  This is an exciting role for the right creative individual to apply your knowledge of the life science industry conferences and your exceptional communications, organizational and interpersonal skills to help grow our company.

Key Responsibilities

  • Collaborate with commercial team to develop event strategies that include input from cross-functional teams and align with overall company strategy and branding
  • Develop and produce event programs for company and industry events
  • Negotiate sponsorship, exhibiting and speaking options with events producers
  • Manage events budget and vendors, including facilities, catering, shipping, graphics, printing, giveaways, and anything needed to facilitate event execution according to plan
  • Work with our internal Marketing Communications Team and external PR/Advertising agencies to promote events and drive attendance using PR, email, advertising, social media and web
  • Work with internal team members in marketing communications to ensure messaging and collateral are on brand and up to date
  • Work with Sales Management to identify staffing for events
  • Create Show Briefing Books and hold pre-show meetings to prep staff
  • Prepare post-show reports, ROI analysis and conduct internal/external post-show surveys
  • Schedule travel, facilitates conference registration and coordination
  • Plan, book, enter and track expenses submitted to accounting
  • Ensure that payments for exhibit services and other vendor payments are made on time
  • Keep track of all pertinent deadlines relevant to events and conferences, including booking dates, payment, cancellation, material receipt, installation/dismantle and other
  • Manage event budget and expense tracking
  • Assist with the planning, implementation, and follow-up for all lead generation events in developing and maintaining event databases, coordinate event logistics, contracts, attendee registrations, collateral/material needs, quantity, production, shipping, distribution, installation, and dismantling
  • Manage both internal and outside vendors for promotional and print inventory and shipping

Act as a liaison between marketing, sales, support, R&D, and external participants

Requirements

Required Skills and Background

  • Bachelor’s degree in Marketing Communications, with coursework in the Life Sciences preferred
  • 3-5 years of relevant work experience in Trade Show Management
  • Previous experience in life science tools and genomics technology is strongly preferred
  • Direct experience programming and /or producing various events ranging in size
  • Knowledge of global life science industry conferences and events required
  • Extensive Project Management experience
  • Proficiency with MS Office, Google Suite (Mail, Calendar), Concur, Confluence, JIRA, Salesforce, Pardot (or other marketing automation system), WebEx Meeting and Event Center
  • High degree of integrity and ability to maintain strict confidentiality managing sensitive projects
  • Knowledge of travel booking, with experience coordinating large group itineraries
  • Motivated self-starter with excellent written and verbal communication skills
  • Ability to multi-task, lead several events simultaneously, manage shifting priorities and maintain composure during tight deadlines
  • Ability to coordinate cross-functional teams, executive leadership and industry KOL’s
  • Must be willing to travel up to 50% of the time; Travel will include evenings and weekends, and attendance at events
