This position will be responsible for managing academic faculty and scientific staff appointments and promotions, and related faculty affairs for the Clinical Research Division (CRD), Fred Hutchinson Cancer Research Center. In conjunction with CRD and Center Leadership, coordinate external faculty searches, appointment processes for faculty, at all ranks, and assist with faculty reviews. This position will also steward faculty promotions, including scientific staff appointments and promotions, in cooperation with related faculty affairs staff in the UW Division of Medical Oncology, for those concurrent appointments and promotion processes for all CRD faculty with joint appointments. This position is also responsible for organizing and managing the annual Faculty Appointments and Promotions (A&P) meeting for the Division. This position will report to the Division Director and in close collaboration with the Division Administrator.
- Interpret, explain, and implement faculty guidelines, rules, policies, and procedures consistent with Center policies and in collaboration with FredHutch Human Resources.
- Plan annual, midterm, and 5-year faculty reviews. Design review calendar; develop timelines.
- Plan and support A&P Committee. Schedule reviewees, provide direction to faculty for preparation of required materials; review CVs for content and format, develop agenda, document meetings, follow up on action items.
- Administer faculty promotions. Advise and support promotion committees; manage reviewer list process from initiation to final approval step; provide direction to candidate on required materials; serve as liaison to other division(s) and the University of Washington, where applicable.
- Manage faculty recruitment process. Advise and support search committee; serve as liaison with University of Washington Academic HR, interact with HR on advertisement placements logistics; manage applicant database; plan candidate visits; monitor committee activities and follow up on needed actions.
- Provide timely updates on status of faculty recruitments, reviews, and promotions.
- Develop and maintain computer programs for compiling and tracking data and generating a variety of reports, i.e. appointment terms, promotion dates, and other programmatic projects such as the faculty mentoring program. Responsible for maintaining Faculty and Scientific Staff Database.
- Lead special projects, e.g., consult with database experts for SharePoint or other systems that will enhance day-to-day operations of the program and maintain current faculty information on the FH CRD webpages.
- Plan and support search and promotion committees, document proceedings, and follow up on action items. Support quarterly faculty meetings and faculty subcommittees on reviews.
- Coordinate seminars and special events relating to faculty recruitment and promotion.
- Coordinate faculty development and mentoring programs as needed.
- Ensure that faculty CVs are current in relation to promotion and review process guidelines, working closely with the Division Administrator and faculty support administrator.
- Performs other responsibilities as required.
- BA/BS or equivalent and at least 5 years of progressively challenging administrative experience.
- Experience working with faculty and academic affairs issues.
- Strong competency in Microsoft Office.
- Strong interpersonal and communication skills.
- Experience working in an academic, clinical, or scientific environment.
- Must be self-motivated and directed, and able to engage at all levels of an organization including maintaining flexibility and responding to shifting priorities.
- Demonstrated maturity and ability to remain calm and composed under tight deadlines.
